People Process & AI Automation Specialist

We are hiring a People Process & AI Automation Specialist to design, simplify, and automate how our global Human Resources department operates across tools, processes, and service delivery to ensure a best-in-class employee experience.
In this role, initially your focus will be getting the operational fundamentals right - mapping end-to-end employee journeys, eliminating friction, and standardizing core processes. In parallel, you will use everyday AI tools (like Claude and Gemini) to help our teams work smarter and faster with our customer - employee in mind. As our core offering becomes clean and organized, your scope will naturally expand to designing, testing, and deploying custom AI agents to take automation further.
We are looking for someone with a true "raise your hand" mindset when it comes to AI - someone who is customer-focused, naturally curious, eager to test new tools, and excited to act as an internal ambassador who inspires and upskills colleagues across the business.
Your daily tasks will include:
Process Optimization & Operational Excellence
Map & Organize: Analyze, map, and clean up processes across the global Human Resources department covering the full Employee lifecycle (e.g., onboarding, internal movement, service desk requests, operational support).
Eliminate Friction: Apply practical process optimization techniques to spot bottlenecks, duplicate work, and manual drag without getting bogged down in heavy bureaucracy.
Define Standards: Create clear SOPs, lightweight documentation, and operational standards that scale smoothly in a fast-paced global environment.
Track Impact: Establish process metrics and operational tracking to measure performance gains against our ambitious HR & People goals.
AI Augmentation & Automation
Work Smarter Now: Leverage everyday AI tools - primarily Claude and Google Workspace (Gemini, Apps Script) - to optimize documentation, administrative workflows, and knowledge retrieval.
Smart Workflow Design: Connect existing systems like HiBob with AI tools to streamline our operations so we can deliver a faster, more seamless service experience to our internal customers.
Build AI Agents: As processes are organized and governed, translate practical operational workflows into custom AI agents for employee self-service, knowledge retrieval, case routing, and reporting.
Govern & Safeguard: Bring a strong conceptual understanding of AI safety and data privacy to adhere to FYUL’s high security standards, ensuring every new tool, automation, and agent deployment is built responsibly from day one.
AI Ambassadorship & Community Participation
Be an AI Ambassador: Educate, upskill, and share practical AI prompts and tools with colleagues across People function to elevate overall AI proficiency.
Participate in the AI Community: Actively engage as a member of FYUL’s internal AI Community, contributing ideas, sharing learnings, and staying aligned on best practices.
Proactive Innovation: Bring a proactive "raise your hand" attitude to cross-departmental collaboration - spotting friction across the employee digital journey and taking the initiative to propose AI-driven solutions that elevate the experience whole-organization-wide.
Your qualifications:
Required:
Experience: 1–3 years of hands-on experience in process optimization and continuous improvement, preferably within Human Resources, Business Management, or digital transformation.
AI & Workflow Automation Proficiency: Hands-on experience working with Claude and ChatGPT (prompting, workflow setup) alongside standard LLMs, AI productivity tools, and workflow orchestration platforms (e.g., n8n, Zapier, Make).
Fast-Paced Problem Solving: Practical ability to analyze and redesign business processes cleanly and quickly.
Proactive Mindset: A clear "raise the hand" mentality - an intrinsic drive to spot inefficiencies and take ownership of AI solutions.
Tech Ecosystem: Good familiarity with Google Workspace apps and integrations.
Language: Professional written and verbal English communication skills.
Nice to Have:
Global & Scale Experience: Prior experience managing projects in medium- to large-scale, high-pace global organizations.
IT Security & Governance: Conceptual understanding of enterprise-level IT security practices, data governance, and privacy compliance when evaluating and deploying new digital tools.
HR Tech Ecosystems: Practical exposure to modern HR tech platforms (specifically HiBob or comparable HRIS tools).
Employee Experience Focus: Understanding of employee experience and how it directly translates into intuitive processes, modern tools, and high-impact HR services.
Low-Code & AI Frameworks: Hands-on experience or strong interest in low-code platforms (e.g., Google Apps Script) or AI agent-building frameworks.
Enablement & Tech Adoption: Track record of facilitating internal workshops, delivering demo sessions, or driving tool adoption across teams.

Monthly salary EUR 3,400–3,700 gross, depending on work experience, education, and skills

Intro Chat
If our Talent Acquisition Team believes that you could be a great fit for the role, we’ll invite you to a 30-45-minute introductory call. Our goal is to learn about your relevant experiences, skills, and motivations. This is also your chance to ask any questions you may have about FYUL.
Practical Task
Some roles require our candidates to complete a practical assignment. It helps us assess your problem-solving skills and your ability to complete the duties required for the role.
These can come in the form of a take-home assignment or a live session where a dedicated team member will guide you through the process and answer any of your questions.
Hiring Manager Interview
The next step is a 30-60-minute call to meet the hiring manager. The goal of this call is to assess if you have the skills necessary for the role. Expect more detailed questions about your experience and some situational or behavioral questions.
