People Operations Specialist (Hybrid in Riga)

About the role:
We are looking for a People Operations Specialist to support our employees throughout their entire employment journey. In this role, you will be responsible for delivering high-quality People Operations services to our office and production employees in Latvia, ensuring an excellent employee experience while maintaining compliance with Latvian employment legislation and company policies.
As a key member of the People Operations team, you will manage the day-to-day administration of the employee lifecycle, maintain accurate employee records in HiBob, support payroll administration and collaborate closely with managers, Talent Partners, Payroll, Finance, IT and Legal to ensure smooth and efficient HR operations.
This role requires excellent organizational skills, strong attention to detail and a proactive approach to improving processes while providing outstanding support to employees and managers.
Your daily responsibilities will include:
Employee Lifecycle Management:
Manage the end-to-end employee lifecycle for Latvian office and production employees, including onboarding, employment changes and offboarding.
Prepare employment contracts, contract amendments and other employment-related documentation.
Coordinate onboarding activities with Talent Partners, Payroll and IT to ensure employees are fully prepared before their first day.
Support employee transfers, promotions, salary changes and organisational updates.
Coordinate offboarding activities, including documentation and final administrative tasks.
HR Administration & Compliance:
Ensure all employee documentation complies with Latvian labour legislation and internal company policies.
Maintain accurate employee personnel files and employment records.
Monitor probation periods, fixed-term contracts and mandatory employment documentation.
Support HR audits and ensure compliance with GDPR and internal data protection standards.
Assist with employment-related reporting and statutory documentation when required.
HR Systems & Data Management:
Maintain accurate employee data in HiBob, ensuring it remains the company's single source of truth.
Process employee data changes in a timely and accurate manner.
Monitor HR workflows and ensure onboarding, employment changes and offboarding activities are completed on time.
Support HR reporting, workforce analytics and data quality initiatives.
Assist with continuous improvement of HR systems and process automation.
Employee Support:
Serve as the first point of contact for employees regarding HR policies, procedures, benefits and employment-related questions.
Provide day-to-day People Operations support to office and production employees.
Assist managers with HR administrative processes and employee documentation.
Promote a positive employee experience by delivering timely, accurate and professional support.
Cross-functional Collaboration:
Work closely with Talent Partners on employee lifecycle activities and organizational changes.
Partner with Payroll to ensure employee data is accurately reflected in payroll systems.
Collaborate with IT to coordinate onboarding, access provisioning and offboarding activities.
Support Finance and Legal with employment-related documentation and compliance requirements.
Build strong relationships with managers across office and production teams to ensure consistent People Operations support.
Your qualifications:
2–4 years of experience in People Operations, HR Operations, Human Resources Administration or a similar role.
Experience supporting the full employee lifecycle.
Good knowledge of Latvian Labour Law and employment administration.
Experience working with HR Information Systems (HiBob experience is considered an advantage).
Understanding of payroll administration processes and HR data management.
Excellent organizational skills and strong attention to detail.
Ability to manage multiple priorities in a fast-paced environment.
Strong communication and stakeholder management skills.
High level of discretion when handling confidential employee information.
Fluency in Latvian and English, both written and spoken.
Preferred qualifications:
Experience supporting both office-based and production employees.
Knowledge of GDPR and HR data privacy requirements.
Experience working in a fast-growing or international company.
Experience improving HR processes and implementing operational efficiencies.
Continuous improvement mindset with the ability to identify opportunities for automation and standardization.
