Part-Time Administrative Assistant (20h/week)

Our business keeps growing, so we’re looking for a skilled part-time Administrative Assistant to join our production center in Sant Climent de Llobregat.
In this role, you will support the day-to-day administrative and operational needs of the production center. You’ll work closely with multiple teams to ensure smooth processes across administration, internal communication, facilities coordination, and events. This role is ideal for someone organized, proactive, and comfortable working in a dynamic environment.
Your daily tasks will include:
Maintaining accurate records and administrative documentation
Managing incoming and outgoing mail, deliveries, shipments, and inter-company shipping (domestic and international)
Preparing and updating internal documents, presentations, and materials
Assisting with onboarding and recruitment-related materials
Coordinating meetings, trainings, and projects within the production center
Ordering office supplies and coordinating small purchases when needed
Supporting internal and external events, including logistics and communication across different channels
Processing invoices and supporting basic administrative accounting tasks
Assisting employees with administrative requests and business trip arrangements
Welcoming visitors and coordinating guided tours of the facility
Supporting facilities administration and maintaining internal tracking systems
Assisting with internal culture initiatives and activities
Your qualifications:
Previous experience in administrative support or a similar role
High school diploma or equivalent
Fluent Spanish and professional English communication skills
Proficiency with MS Office or Google Workspace
Canva or basic design experience is a plus
Strong organizational and time-management skills
Attention to detail and accuracy
Ability to handle confidential information responsibly
Proactive mindset and problem-solving skills
Ability to work both independently and as part of a team
Positive attitude and sense of ownership

Intro Chat
If our Talent Acquisition Team believes that you could be a great fit for the role, we’ll invite you to a 30-45-minute introductory call. Our goal is to learn about your relevant experiences, skills, and motivations. This is also your chance to ask any questions you may have about FYUL.
Practical Task
Some roles require our candidates to complete a practical assignment. It helps us assess your problem-solving skills and your ability to complete the duties required for the role.
These can come in the form of a take-home assignment or a live session where a dedicated team member will guide you through the process and answer any of your questions.
Hiring Manager Interview
The next step is a 30-60-minute call to meet the hiring manager. The goal of this call is to assess if you have the skills necessary for the role. Expect more detailed questions about your experience and some situational or behavioral questions.
Decision and Offer
Once all of your interviews are done, our team will get together to review everyone’s feedback and make a decision.
If we decide that you are the best candidate for the role, our recruiter will reach out to you with an offer.
Once you have accepted the offer, our HR Operations Team will contact you to walk you through the contract signing process.
